Luxury Wedding Planner
A luxury wedding planner in France, facing a 1.5-year client waitlist, needed to scale their operations without compromising the personal, high-touch service they’re known for. We helped streamline their client experience and implemented systems, including Dubsado automations, to reduce the founder's manual involvement, ensuring more time for both client relationships and business growth.
Goal for the project
This client came to us with a client waitlist of 1.5 years. They have only been in business for 2 years at this point, but they were so in demand that retaining clients wasn’t a problem for them. What was the problem is that the client experience was suffering because so many clients were demanding this founder’s attention. The job of a wedding planner is very hands on. It’s intimate. It’s personal. And, this founder took pride not only in the job–but in the feeling their brides had from the moment they said yes.
This founder knew that as the business scaled, and as they became busier, something was going to suffer. This reality was a non-starter. Something had to change.
The Experience
We not only looked at what needed to happen now in order to exceed the high touch service this business demands, but we also factored in their desired growth trajectory. We asked questions like, “what needs to be in place if I were to hire x person?” “What SOPs can I create so we have that taken care of?” “What do I need this system for and how can it integrate seamlessly with Dubsado & other internal systems?”
Automating the client experience in Dubsado was a key factor in eliminating this founder’s need to have their hands in every touchpoint. This allowed more space for this founder to focus on growing their company and being present with their brides.
The outcome
We spent 8 weeks building this founder’s ClickUp account. We created a system that allowed the team to jump right in and start working, yet allow for a lot of future growth and scaleability. We branded client proposals and forms to seamlessly slide into the wedding deck deliverables and client portals. We implemented 34+ automations throughout both systems to ensure that the new ecosystem was working efficiently.
Throughout our time together, this founder felt immediate relief. The system wasn’t even completed yet, and it already felt like a “life changer”. Everything “was perfect” and this whole experience allowed the founder to get back to the roots of their business and really dive into what was next for the agency.
