Design Studio

Studio Nika is a Design Studio for Real Estate, Interior Design, Architecture, & Hospitality Brands. They are a full-service studio specializing in Branding, Websites, & Social Media Management. When Studio Nika hired us for their Dubsado setup, they were ready to scale. The only problem was that their systems didn't allow them to do that. With a growing team, a business relocation around the corner, and client work piling up by the hour, we needed to build a tech ecosystem that worked for this agency's unique client processes.

Goal for the project

The goal for this Dubsado setup was clear. We needed to create a system that works for me and helps me deliver a consistent, purposeful and enjoyable experience for clients + a system to help me better manage inquires and convert leads. Natalia, the agency's founder, was ready to step into a role as CEO and take her hands out of every single detail of the client's projects. She wanted to take a lead/head designer role, and allow her team to seamlessly step in and support her clients in a way that reflects the high quality work Studio Nika is known for.

The Experience

We started out the project by building 6 workflows, broken up into phases, for Studio Nika's unique client process. They have 3 different services that cater to sometimes the same, but sometimes different clients, so we needed something that worked for everyone coming through those pipelines. Natalia and Jess worked closely together throughout the first week to finalize a strategy that was a complete reflection of their process - both combining automatic and approval actions for the touchpoints. The Aisé team then spent two weeks writing all of the workflow emails, custom coding + wireframing the forms, setting up the account, and building the workflows ahead of final approval. Once final approval was given, we finalized the account, activated all workflows, Natalia was trained on how to use the system, and her 30 day support period with the Aisé team was activated.

The outcome

In total, we created 84 automations, built 11 forms, wrote 57 emails, and set up an entire system for Natalia and her team to now work with clients out of. Studio Nika went from doing everything manually, to leaning into manual work only when necessary. They are now using automation to support the creative work they do with their clients, and converting more leads than ever before.

I think that beyond the Dubsado set up, this process forced me to sit down and actually organize the inner workings of my business. I had to do my brandbook LOL nail down my packages and refine my processes which was such a necessity that I hadn't done before because I was procrastinating it thinking there were more pressing things to do than this. I just feel more in control and excited instead of panicky when a new lead comes in because I just need to press a button and BAM.
